Use Case 1 – Auto-approval within tolerance
When the difference between the SAP TM–calculated charge (based on the freight agreement), and the carrier’s invoice amount falls within a defined tolerance, the system auto-approves the discrepancy. This represents the “happy path” baseline scenario, ensuring minor variances don’t create unnecessary workload.
Use Case 2 – Manual approval for variance outside tolerance
If the dispute amount exceeds the configured tolerance, the system creates a dispute case automatically and routes it to shipper system for manual review and approval. This ensures that meaningful deviations are always validated by a person before settlement.
Use Case 3 – Manager approval for high-value disputes
For disputes that are outside tolerance, and above a higher monetary threshold the workflow escalates to a manager. Manager approval is required before the dispute can be resolved, adding an extra layer of governance for high-impact financial decisions.

For disputes above a certain threshold, the system routes them first to a designated central reviewer.
